Invalid IIF File: Diagnose the Format Before Import

“Invalid IIF” is not one single error. It can describe a file that is not tab-separated, a header that does not match its rows, a broken transaction block, or data that conflicts with the receiving company.

Check your IIF file

IIF is a structured text format

The first field identifies the record type. Header versions begin with !, and the remaining fields name the columns used by subsequent records. Extra tabs create extra columns; missing headers leave QuickBooks without a field map.

Avoid unsafe automatic repairs

It is safe to remove an encoding marker or empty lines. It is not safe for a generic tool to invent an account, change a transaction amount, reinterpret a date, or silently delete a field. PolicyPilot only downloads a normalized copy for mechanical changes and leaves business-data corrections to you.

Validate against the same QuickBooks environment

IIF behavior can differ by QuickBooks product, version, locale, and company data. Use sample files or exports from the same environment whenever possible rather than relying on a template created for another country version.

Frequently asked questions

Can I validate an IIF file without QuickBooks installed?

Yes for text structure, transaction boundaries, numeric fields, and embedded error comments. Company-specific names still require the receiving QuickBooks file.

Will the normalized download change my amounts?

No. It only removes a UTF-8 BOM and internal blank lines. It does not alter financial values or names.
